What Is PDF Metadata and Why Remove It Before Sharing?
Quick summary
- Metadata is information about the file, such as author, title, software and dates.
- It can reveal details you did not mean to share, such as a draft title or a full name.
- Clearing metadata does not change the visible content, so check comments and hidden text separately.
When you look at a PDF, you see pages. But the file also carries information about itself: who created it, which program was used, when it was made and what it was called while it was being written. This is called metadata, and it travels with the PDF wherever you send it.
What is stored in PDF metadata?
- Title: sometimes an old or internal name, such as "Draft v3 - do not send".
- Author: often the name set in your word processor or your computer account.
- Subject and keywords: optional descriptions.
- Creator and producer: the programs used to write and export the file.
- Creation and modification dates: when the file was made and last changed.
Why does it matter?
Most of the time metadata is harmless. But there are good reasons to check it:
- A job application might carry the title of a previous version, or the name of a different employer.
- A document you made for one client could include another client's name in the title.
- Your full name or username may appear in the author field when you would prefer to stay anonymous.
- Dates can show how long a document was worked on, which may not be something you want to share.
How to see what a PDF contains
Most PDF viewers show properties under File then Properties or Document Properties. With Remove Metadata you can also see the current values before deciding what to clear.
How to clear it
- Open Remove Metadata and add your PDF.
- Review the values shown for title, author, subject, keywords and other fields.
- Run the tool and download the cleaned copy.
- Use the cleaned copy for sharing and keep the original for your own records.
What metadata removal does not do
Clearing metadata only affects the document properties. It does not remove text that is visible on the page, comments or notes that are part of the content, or text hidden under a shape. If you need to hide sensitive text, make sure it is actually removed from the page, not simply covered by a coloured box.
