A Simple Checklist Before You Send Any PDF

Whether it is a job application, an invoice or a contract, a PDF often goes out with only a quick glance. A short checklist catches the mistakes that are easy to miss and awkward to explain later.
The checklist
1. Are all the right pages there?
Count the pages. Make sure nothing is missing and nothing extra is included, such as a blank sheet or a draft cover page. Remove extras with Remove Pages.
2. Is the order correct?
Scroll through the thumbnails once. If the order is wrong, rearrange with Organize PDF. When combining several documents, Merge PDF lets you set the order before you create the file.
3. Is every page the right way up?
Sideways and upside-down pages look careless. Fix them with Rotate PDF. Our article on fixing sideways and out-of-order pages explains how.
4. Is the file size reasonable?

5. Is everything readable?
Zoom in on small text, stamps and signatures. If a scan is blurry or too dark, scan it again before sending.
6. Are page numbers included for long documents?
For anything over a few pages, page numbers make it easier to discuss the document. Add Page Numbers lets you choose the position, format and starting number, and skip the cover page.
7. Is it signed where needed?
If a signature is required, add it with Sign PDF instead of printing and scanning again.
8. Have you cleared hidden details?

9. Is the file name professional?
Use a clear name such as Sahil-Kumar-CV-2026.pdf rather than scan0023_final2.pdf. Avoid special characters and very long names.
10. Did you open the final file?
Always open the exact file you are about to send, ideally on a different device or in a different viewer. It takes a minute and catches most last-minute surprises.
